Privacy Policy: Bicycle NSW: August 2007

Bicycle New South Wales Incorporated (ABN 26 511 801 801) (Bicycle NSW) is a non-profit member-supported community group. This policy sets out the way in which we deal with personal information which we collect to enable us to secure a better and safer riding environment for you.


How We Collect Personal Information

Bicycle NSW collects personal information in a number of ways, including:

  • in written application forms submitted by persons wishing to be a Bicycle NSW member, or to register for Bicycle NSW's events. These forms can be submitted by mail, fax or through secure sections of our website;
  • directly from members and other riders by telephone; and
  • through surveys.

Bicycle NSW does not collect personal information about you unless you voluntarily participate (or someone who nominates you as one of their family members or as their emergency contact voluntarily participates) in an activity that asks for that information.
If you do not provide us with your personal information (or personal information about family members who will participate with you in an event, or personal information about an emergency contact when you wish to participate in an event) you may not be able to become a member of Bicycle NSW, register for our programmes, or access some of the services we provide. However, you will still be able to browse non-restricted sections of our website.
Bicycle NSW will handle your information in accordance with the National Privacy Principles contained in the Privacy Act 1988 (Cth).  Bicycle NSW will rely on the employee record and related companies exemptions where appropriate.  


Information We Collect

Bicycle NSW seeks to collect the minimum amount of personal information necessary to provide the level of service you require or request, including:

  • Name;
  • Address;
  • Date of Birth;
  • Gender;
  • Email Address;
  • Telephone and Fax Numbers;
  • Other family members in membership or event applications;
  • T shirt size - when applicable;
  • Meal Preference - when applicable; and
  • Name and address of an emergency contact (where you wish to participate in an event).

Use of Personal Information

Bicycle NSW uses personal information to:

  • provide the level of service you require or request;
  • administer and manage those services, including membership applications and renewals, registrations for particular programmes and payment of insurance premiums;
  • inform members and registered participants of forthcoming events or matters concerning their membership or registration status;
  • mail or e-mail to members and subscribers a copy of the bi-monthly magazine 'Australian Cyclist with Push On' or any other Bicycle NSW publication;
  • notify members and registered participants of important changes to the services provided by Bicycle NSW and to any programmes in which they participate; and
  • gain an understanding of the spread of members and participants for lobbying purposes and to enable tailored services and programmes for particular age groups, gender ratios and localities.

Your personal information will not be added to any mailing lists unless you ask for this to be done, or this was a specified purpose for the collection of your personal information.

Marketing Material from our sponsors and marketing partners

Bicycle NSW is a not-for-profit organisation. In order to fund its operations, Bicycle NSW will from time to time enter into sponsorship or marketing partnership arrangements with commercial organisations. Where our marketing partners or sponsors are able to offer our members and subscribers offers for products or services or information on upcoming events we are keen to pass this information on to you. As such, Bicycle NSW (or our service providers) may contact you by mail, telephone, SMS or e-mail to inform you of these offers if you have consented to be contacted for these purposes. . You may at any time contact our Privacy Officer to "opt-out" of such communications . The contact details are:

Disclosure of Personal Information

In connection with the purposes for which it collects your personal information, and where Bicycle NSW thinks it is appropriate, it may disclose your personal information to:

  • insurers, legal officers and law enforcement agencies to identify, contact or bring legal action against anyone damaging, injuring or interfering (intentionally or unintentionally) with Bicycle NSW's rights, property, members, programme participants, or anyone else who could be harmed by such activities;
  • professional advisers, including accountants, auditors and lawyers to carry out their legal requirements;
  • government and regulatory authorities;
  • secondary parties, but only to the extent necessary based on your agreement to participate in programmes run, led by or otherwise involving that secondary party;
  • third party service providers to which Bicycle NSW outsources its operations (e.g third party mail houses, event organisers etc); and
  • other entities where Bicycle NSW believes in good faith that the law requires it.


Storage and Security

Bicycle NSW strives to protect the personal information you provide us with from misuse, loss, unauthorised access and unauthorised disclosure. Personal information we receive is stored mainly electronically, on a secure server database. We also restrict physical access to that server.
The Internet is not a secure environment. If you send us information via this medium, including your personal details, it is at your own risk. We cannot guarantee the security of any information you transmit to us or receive from our services. However, once we receive your transmission we make our best effort to ensure its security.

Cookies

When you visit our website, or download information from it, Bicycle NSW and our internet services provider may make a record of your visit and record the following information:

  • your internet address;
  • your domain name (if applicable);
  • the date and time of your visit to the website;
  • the pages you accessed and documents you downloaded;
    the previous website you have visited; and
  • the type of browser you are using.

This information is only used for statistical and website development purposes.
One way in which we collect this information is through the use of cookies. Cookies are data that a web site transfers to an individual's hard drive for record-keeping purposes, and are an industry standard used by many web sites. They allow us to track usage patterns and compile data that can help us improve our content and target particular services. If you do not want information collected through the use of cookies, there is a procedure in most internet browsers which allows you to deny the cookie feature. You should note however, that cookies may be necessary to provide you with some features on the site, such as registered or restricted services.


Access to Information & Complaints

You have a right to contact the Privacy Officer and request access to personal information held about you by Bicycle NSW and to correct any information which is not accurate. If Bicycle NSW is unable to provide such access we will tell you why.  Your information will be removed if you so request, provided that its removal does not affect any legal requirements.
Please contact us to ask for access to your personal information, to change your personal information, to request that your personal information be removed, or if you have a query or any complaint concerning your information privacy.  We will acknowledge any complaints and deal with them in a fair, effective and confidential manner.
